Confirm appointment time with WhatsApp buttons

The scenario sends the client a personalised WhatsApp template with a proposed visit date and time.

Use case overview

The scenario sends the client a personalised WhatsApp template with a proposed visit date and time. Two quick-reply buttons let the client confirm the slot or suggest another time; the webhook routes the choice to your backend.

Template example

Hello, {{1}}! Please confirm your {{2}} appointment on {{3}} at {{4}}:

Confirm
  • {{1}}
    customer name
  • {{2}}
    service or appointment type
  • {{3}}
    proposed booking date
  • {{4}}
    proposed booking time
  • “Confirm”

When to use it

Reach for this scenario when your team has proposed a visit slot and needs the client to confirm it or counter with another time, but there is no open WhatsApp conversation yet — only an approved template can start that exchange. It fits clinics and field service crews where a missed slot burns a paid hour, scheduling teams tired of phone tag, and integrators piping quick-reply webhook events into a booking API.

Fewer scheduling phone calls
Two quick-reply buttons let the client confirm the slot or suggest another time; the webhook delivers that tap as a structured event to your backend instead of a voicemail someone must transcribe.
Proposed slot details in one place
Customer name, service, date and time fill four body variables in WhatsApp, so the visit proposal stays searchable in chat instead of scattered across email threads or staff notes.
No manual slot confirmation work
The scheduling system fires the template on a clarification event, resolves the phone and slot fields, and sends — no one retypes the proposed date or time for each client.
Booking updates from one tap
Confirm or alternate-time taps return through the inbound webhook to scheduling or CRM, so the booking record updates from the client's choice without staff re-entering the answer.

Workflow

  1. Trigger

    The scheduling system proposes a visit slot and fires a clarification event.

    event · triggered

  2. Capture event

    The system resolves the client phone number and slot fields.

    phone: "+…"

  3. Build & send

    A personalised template message is built with four body variables and two quick-reply buttons.

    POST /sendTemplate

  4. Delivered

    The client receives the WhatsApp message and taps confirm or suggest another time.

    delivered

  5. Status tracked

    The webhook delivers the structured choice to update the booking.

    status: "read"

Response and delivery status

HTTP 2xx and JSON "sent": true mean 1MSG accepted the message for sending — not that it already reached the customer's phone. Save the id field (looks like wamid.…) to correlate delivery callbacks.

200 OKResponse
{
  "sent": true,
  "message": "Sent to [email protected]",
  "description": "Message has been sent to the provider",
  "id": "wamid.HBgLMzgwNjM5..."
}
  • sent

    Accepted for sending — not yet on the customer's phone

  • id

    Store it; delivery callbacks and hookInfo are keyed on this
